Hexicom's new online Proofing module enables users to streamline the proofing process by creating proofs directly from estimates, jobs, or online orders. By attaching art files and sending them to customers for approval or rejection, this feature fosters enhanced collaboration and communication between users and their clients, resulting in smoother workflows and faster turnaround times.
How to use Hexicom's Proofing module:
- Accessing the Proof Creation Page:
• Navigate to a job in your system and locate the “Quick Links” panel on the left-hand side.
• Click on the “Create” button under “Proofs.” - Uploading Art File:
• A pop-up window will appear.
• Click the “Choose File” button to select the art file you wish to attach.
• After selecting the file, click the “Upload” button. - Creating the Proof:
• Once the file is uploaded, tick the box next to the uploaded file.
• Click the “Create Proof” button at the bottom of the pop-up window. - Sending the Proof via Email:
• The system will redirect you to the proof page.
• Hover over the “Proof Options” dropdown menu and select “Email.”
• Compose the email as desired and click the “Send” button. - Proof History:
• After sending the email, the proof's history will be automatically updated.
• You can monitor the status of the proof within your Hexicom system. - Customer Approval Process:
• Your customer will receive an email containing a link to the proof approval webpage.
• From the webpage, they can either approve or deny the proof and leave comments if necessary. - Reviewing Customer Actions:
• Once your customer takes action on the proof, the proof's history will be updated accordingly.
• You can view any comments left by the customer from the proof page.
