It is possible to integrate the Xero Accounting Software with ePrint to streamline your accounting processes. You create the invoice in ePrint and then export to Xero using an online connection called an API. Your accounting team can then manage all finance processes rom within Xero.
This export can be undertaken at any preferred time schedule, daily, weekly, monthly etc. Using an export function the invoices are exported into Xero through the internet using the API, then in Xero the invoices are approved and reconciliation of invoicing can be done in Xero by the nominated accounts person.
It is not necessary to manually populate Xero with any information from ePrint as this will occur automatically during the process.
The Process
A Xero Business account is required to be set up according to your business profile before you progress further.
Getting Started
- Request Xero to be enabled on your Hexicom system (contact Hexicom Support team).
- You will require a Xero Business account.
- Setup Accounting Codes in Xero (for Sales and Expenses these will then be used in Hexicom invoices).
- Setup Accounting Codes in Hexicom.
Step 1 - Request Xero on Hexicom
1. Send an email to Support, requesting Xero to be enabled on your account.
Step 2 - Obtain a Xero Business Account
This step can be done simultaneously to step 1. The Xero account cannot be a demo account as an API connection is required. The API is only available on a paid account.
1. Access the Xero website (ensure it is applicable to your region).
2. Create an account.
Step 3 - Create Accounting Codes in Xero
There are at least two accounting codes that need to be created in Xero, your Bookkeeper will assist in this process;
- Sales - e.g. Code 200
- Expenses - e.g. Code 201
1. Click the Account menu, then select Chart of Accounts.
2. If the codes are already created, take note of any codes that will be used for Sales and Expenses etc in Hexicom.
or
3. If the codes are not created, refer to the Xero support - Add or edit a chart of Accounts
These codes may then be allocated to each invoice created in Hexicom.

Step 4 - Create Accounting Codes in Hexicom
This step can be done simultaneously to step 1. The Xero account cannot be a demo account as an API connection is required and the API is only available on a paid account.
1. Click the Settings cog (top right corner), then select ePrint MIS.
The window is arranged with a navigation pane on the left-hand side of the screen.
2. Click Accounting, then Accounting Codes.
The current list of Accounting codes will be displayed and summarized in this location.
3. Click Add New Record.
4. Enter in the Accounting Code (as done in Xero), enter a Description, nominate if it is a Revenue or Purchase Code and mark the Default option if applicable, then click Save.
- Sales - Code 200
- Expenses - Code 201
When the invoices are exported to Xero the accounting codes are used to create a match between the programs.
