The system can import a list of current paper stock and the associated pricing, as long as it is in an Excel spreadsheet.


1. Click Inventory, then Tools, Import.



2. From Select Inventory Category, select the stock, Paper (has been used in this example), then click Download Sample File.

Note: You will return to this window in step 6.

3. Insert the data into the Excel spreadsheet into the appropriate columns.

Note: Attached to this article is a file called Stock for Import example with comments. Refer to this file for information on completing the file. (Do not use this file to import the inventory)

  • In the column called Paper/Stock Type enter either Sheet or Roll
  • If the stock type is Roll then add the roll length into the Length column. (If the stock is a sheet leave the length column blank)
  • The following fields are mandatory
    • Inventory Name
    • Paper/Stock Type
    • Cost
    • Width
    • Height
    • Length
    • Basis Weight
  • In the column called Large Format Material the possible values are Yes or No


4. Save the Excel File. (ensure the file type is .xls)


Then Import the Excel File, click 


5. Click Inventory, then Tools, Import.



6. Choose the category from the options provided.



7. From Import Action, select either Append existing record, insert new, or Delete existing records and add these as new.


Note:

  • Append existing record, insert New use this option if updating your system with new pricing, you do not want to remove the stock however update it. The Inventory Code must be the same in the system as it is on the imported Excel spreadsheet.
  • Delete existing records and add these as new use if you are removing all existing Stock and replacing it with new stock items.


8. Click Choose File, then browse to locate the file.


9. Click Import.


A summary preview of the import will be displayed for review. If, in the preview window blank rows are displayed, open the excel file and delete the blank rows prior to uploading.


10. Click the Submit button to complete the process.
